Thesis Formatting to University Guidelines
Your finished thesis laid out to your university’s current template, with a checklist showing what was checked.

This service is for a thesis whose content is finished. Your supervisor has approved the chapters and the results will not change. What remains is the file itself: five or six chapter documents written over three years, each with its own fonts, hand-typed figure numbers, a contents page typed in by hand, and references in two different styles.
We turn that into one properly built document that matches your university’s thesis guidelines. That means a template with the right margins and fonts, headings that number themselves, captions and cross-references that update when a figure moves, a contents page and lists of figures and tables generated from the document, roman and arabic page numbering in the right places, and preliminary pages in the order your university asks for. At the end you get the working file and a PDF ready for the printer and for Shodhganga.
Formatting is layout work; your sentences stay exactly as you wrote them. If the language needs attention, that is a separate job, done first, through our thesis editing and proofreading service, which also includes a format check. Scholars whose English is already clean and whose problem is a messy Word file usually need only this page.
Scope
What’s included
Each stage can be quoted on its own. If you already have a good template and only need the lists and numbering fixed, you pay for that and nothing else.
Template set-up or repair
A Word template or LaTeX class built to your university’s specification: paper size, margins (including the wider binding margin), fonts, line spacing, heading levels and chapter title pages. If your department has an official template, we use it and repair it where it is broken.
Style clean-up and chapter assembly
Manual formatting replaced with proper styles, chapter files merged into one document, stray section breaks and pasted formatting from journal papers removed, and heading numbers (1, 1.1, 1.1.1) linked to the headings so they renumber themselves.
Captions, cross-references and equations
Figure and table captions numbered by chapter (Figure 3.2, Table 4.1), every “see Figure 3.2” in the text turned into a live cross-reference, and equations numbered consistently at the right margin.
Contents, lists and preliminary pages
Automatic table of contents, list of figures and list of tables, plus abbreviation and symbol lists. Title page, declaration, certificates, acknowledgements and abstract set in your university’s order, with roman numbering for the preliminary pages and arabic from Chapter 1.
Reference style conversion
Citations and bibliography switched to the required style through the reference manager you used (Zotero, Mendeley or EndNote in Word, BibTeX in LaTeX), so they stay linked. Hand-typed references are handled separately and quoted as such.
Print-ready and Shodhganga-ready PDF
A PDF with all fonts embedded, bookmarks from the headings, and blank or mirrored pages placed correctly for double-sided printing. If your library wants chapter-wise PDFs for the Shodhganga upload, we split the file that way.
Quality
How quality is verified
These are the checks every piece of work goes through before it reaches you.
Checklist against your university’s guideline
We work from the current guideline you send, turn it into a checklist, and hand back the completed list item by item. Where the guideline is silent or unclear, the checklist records what we assumed so you can confirm it with the thesis section.
Proof that your text did not change
We run Word’s Compare between your original and the formatted file and send you the result. It should show formatting changes only. In LaTeX, you get the diff of the source files.
Every field updated and checked
Contents, lists and cross-references are updated and searched for broken links such as “Error! Reference source not found.” before the file leaves us. Page numbers in the contents are checked against the PDF.
PDF checked by a second person
Someone who did not do the formatting opens the final PDF, confirms that fonts are embedded, checks the page numbering sequence and scans every page for figures that jumped, tables split badly or orphaned headings.
Revision round included
One round of corrections after your review, and after your supervisor’s look at the formatted version, is included in the quote. If the thesis section raises a point that is in its written guideline and we missed it, we fix it free.
Time
Realistic timelines
Formatting time depends more on the state of the file than on its length. A thesis written with styles from day one can be finished in days; one with hand-typed numbering and pasted journal layouts takes longer. These are typical figures for a 150–250 page thesis.
| Stage | Typical time | What it depends on |
|---|---|---|
| Look at your file and quote | 1 working day | Whether you send the guideline and all chapter files together |
| Template and one sample chapter | 2–3 working days | Whether an official template exists and works |
| Full thesis, Word | 5–8 working days | Number of figures, tables and equations, and how much manual formatting there is |
| Full thesis, LaTeX | 4–10 working days | Whether a university class file exists, and how many custom packages are in use |
| Reference style conversion | 1–2 working days | Whether references are in a manager or typed by hand |
| Your review and corrections | Usually 2–5 days, then 1–2 working days for us | How quickly you and your supervisor review |
| Final PDF and checks | 1 working day | Chapter-wise splitting or printer-specific requirements |
Choosing
Formatting or editing: which one you need
The two services are often confused, and some scholars buy both when they need one. This table shows where the line falls.
| Thesis formatting (this page) | Thesis editing and proofreading | |
|---|---|---|
| What we work on | The file: template, styles, numbering, captions, lists, page layout, PDF | The words: grammar, clarity, consistency of terms, citation accuracy |
| What we change in your text | Your text stays as written; a Word Compare report shows that only formatting changed | Suggested edits in tracked changes, which you accept or reject |
| References | Style converted through your reference manager | Each citation checked against the list and back, details flagged |
| Format against university rules | Built into the file so it stays correct when you edit | Checked and listed as corrections for you to make |
| What you get back | A working Word or LaTeX file and a print-ready PDF | A tracked-changes file and a clean proofread copy |
| Best time | After the content is final, before printing and binding | Before formatting, once your supervisor has approved the chapters |
What we need from you
Send the current thesis guideline from your university rather than an older thesis as a model. Guidelines change, and the thesis section checks against the current one. Our format guides for Anna University and Bharathiar University show the kind of detail a full specification contains. If your university publishes nothing in writing, ask your research cell which recent thesis they consider correct and send us that with a note of who said so.
Also send your reference manager library, or tell us it doesn’t exist. A thesis whose citations were inserted with Zotero or Mendeley can change style in minutes. One with 250 hand-typed references needs each entry reformatted, which is slower and is quoted as a separate item. Our Zotero vs Mendeley guide explains why most scholars should set up a manager early.
Why “Shodhganga-ready” is its own step
After the award, your university deposits the thesis with INFLIBNET, and it becomes publicly readable on Shodhganga. Libraries differ in what they ask for: some want a single PDF, others want separate files for the title pages, each chapter and the references. A PDF with missing fonts can show strange characters on another computer, which matters most for Indian language scripts and mathematical symbols. We embed every font and split the file the way your library asks. Our Shodhganga submission guide covers the rest of the deposit process.
Pricing
How pricing works
Formatting is quoted after we have seen the thesis file and your university’s guideline, because two 200-page theses can need very different amounts of work. You get a fixed quote in writing before any work starts, listing the stages included.
Each stage can be quoted separately. If you only need the reference style converted, or only the final PDF prepared, that is all you pay for.
What the quote depends on
- Number of pages, figures, tables and equations
- Whether the file already uses styles or is formatted by hand
- Word or LaTeX, and whether an official template exists
- Whether references are in a reference manager or typed by hand
- Chapter-wise PDFs or other library requirements
- Your deadline, if it compresses our schedule
Every quote includes
- A written scope listing exactly what will be delivered
- A fixed price agreed before any payment
- Payment in stages, tied to delivery
- Revision rounds stated in the scope
Process
How it works
Send the file and your guideline
Share all chapter files, the current university thesis guideline and your reference manager library, and tell us your submission date.
Fixed quote and sample chapter
We quote the stages you need, then format one chapter so you can check the layout before we do the rest.
Full formatting and checks
The whole thesis is formatted, the fields are updated and checked, and you get the file, the PDF, the Compare report and the completed checklist.
Your review and final PDF
You and your supervisor review the formatted version. We make the corrections and produce the final print and Shodhganga PDFs.

FAQ
Frequently asked questions
Will you correct my English while formatting?
Formatting leaves your sentences as they are, and we send a Compare report to show it. If we notice obvious typing errors, we list them for you to fix. If the language needs work, book the editing service first and format afterwards.
My references were typed by hand, not with Zotero or Mendeley. Can you still change the style?
Yes, but it is slower and we quote it separately. We either reformat each entry by hand, or import the references into a manager and re-link the citations, which takes longer at first but lets you change styles later. We recommend the second if you have papers to write from the thesis.
My thesis is in LaTeX. Do you work in Overleaf?
Yes. We can work in your Overleaf project if you share it, or on the source files. If your university has an official LaTeX class we use it; if not, we set up the standard report or book class to match the written guideline.
My university has no written format guideline. What do you format to?
Ask the research cell or thesis section which recent thesis they accept as correct, and send it with their name and the date. We format to that, list every assumption in the checklist, and suggest you show the sample chapter to the thesis section before we do the rest.
The thesis section returned the thesis for a format point after you finished. Who pays?
If the point is in the written guideline you gave us and we missed it, we fix it free. If the office asks for something that is not in the guideline, we tell you the cost before making the change. It is usually small.
Can I edit the file myself after you format it?
Yes, and you should be able to. Because everything is built on styles and fields, adding a figure or a paragraph keeps the numbering correct. We include a one-page note on inserting captions, updating the contents and exporting the PDF.
Is paying for thesis formatting allowed?
Yes. Formatting is presentation, not authorship, and many scholars get help with it from the department, a senior or a DTP centre. Our ethics policy sets out how we work.
Can you format the thesis and also print and bind it?
Printing and binding are best done locally, so we give you a PDF your local print shop can use without changes, and a list of the colour pages if you want to print only those in colour.
